Backing Up Faxed Documents

This section describes how to create backup files for faxed documents and save those files in a preset backup location (file server, e-mail, etc.).
IMPORTANT
You can also save documents sent from PC Faxes.
Document backups are saved even when a transmission error has occurred.
You cannot save documents sent directly or manually.
If you select <On> in this setting, you cannot send documents directly.

Log in as an administrator on this machine's control panel. Logging In as an Administrator

On the <Home> screen, press (Settings/Registration).

Press <Function Settings> <Send> <Common Settings> <Archive TX Document>.

Press <On> in <Use TX Document Archiving>.

Press <Backup Location>, select the backup location and then press <OK>.
Select the backup location from the address list or create a new backup location.
NOTE
While you can select the backup location from address lists 1 to 10 or the one-touch address list, it is recommended that you select the backup location from the <Address List for Administrator>, which cannot be edited or deleted by general users.
You cannot specify an address in a <Personal Address List> as the backup location.

Press <Folder Name>, specify the type of folder in which backup documents will be saved and then press <OK>.
You can select <Sender Information>, <Date>, or <Off> as the folder name.
If you selected <Off>, no folder is created.
The file name is set using the send date/time, job number, and the sender, destination and results information.
E.g.: 202003151005_0050_John_1112223333_OK.pdf
NOTE
Sender Information
The sender information is displayed in the following situations:
Sender name: When the <Sender Name (TTI)> is <W/Settings>
User name: When the <Sender Name (TTI)> is <Off> but user authentication is used
Line name: When the <Sender Name (TTI)> is <Off> and there is no user authentication, but a unit name is registered for the line used to send the fax
Telephone number: When the <Sender Name (TTI)> is <Off>, there is no user authentication and no unit name is registered for the line used to send the fax, but the user's telephone number is registered.
----: When none of the above sender information exists
Backup Location Information
The backup location information is displayed in the following situations:
Destination name: When the destination is named
Telephone number: When the destination is not named
Backup location with first successfully completed transmission: For sequential broadcasting

Press <File Format> and select the format for saving transmitted files.

Press <OK>.
