Setting the Department ID Management on the Printer Driver

Setting the Department ID Management enables you to perform user authentication from the machine.

This section describes how to set the Department ID Management on the machine and print from the computer.

Settings on the Machine

1.
Follow the procedure below to set the items on the Settings/Registration screen.
Press (Settings/Registration).
Press [Management Settings] → [User Management] → [Department ID Management].

Press [On] → [Register PIN].
If you do not want to register a Department ID or password, proceed to step 6.

Press [Reg.].

Use - (numeric keys) to enter the Department ID and password.
Press [Dept. ID].
Enter the Department ID → press [OK].
Press [PIN].
Enter the password.
Press [Confirm].
Enter the same password → press [OK].
You cannot register a Department ID or password with only zeros as the number, such as <0> or <00>. If you enter a number that begins with zeros, the leading zeros are ignored. Example: If <02> or <002> is entered, <0000002> is stored.
NOTE
If you make a mistake when entering a number, press (Clear) to clear the number → enter the correct number.
If you do not want to set a password, you can use the machine by entering only the Department ID.
5.
Press [OK] repeatedly until the Main Menu screen appears.
NOTE
If you select [On] in step 2, the Department ID Management is set.

Follow the procedure below to select [Printer] or [Printers and Faxes].
If you are using Windows XP:
If you are using Windows Vista:
If you are using Windows XP:
Click [Start] → [Printers and Faxes].
You can also display the printer driver screen by following the procedure below.
Click [Start] → [Control Panel] → [Printers and Other Hardware].
Select [Printers and Faxes].
If you are using Windows Vista:
Click  (Start) → [Control Panel] → [Printer].

In the [Printers] folder (or the [Printers and Faxes] folder), right-click the printer icon for the printer you want to specify printer settings → click [Properties].
The printer driver properties dialog box is displayed.

Click the [Device Settings] tab.
The [Device Settings] sheet is displayed.

Select [Department ID Management] → click [Settings].
The [Department ID/PIN Settings] dialog box is displayed.

Select [Allow PIN Setting] → enter the Department ID and PIN that you entered in step 4.
NOTE
Click [Verify] to connect to the printer to check whether the registered Department ID and password are correct.
If you select [Confirm Department ID/PIN When Printing], the information stored in the device is authenticated each time you print.
11.
Click [OK] → [OK].
The printer driver properties dialog box is closed.
12.
Print the document using the printer driver that the Department ID Management has been set.
The machine counts the number of prints for each department.

Department ID Management Invalid for Black-and-White Print Job

You can set the Department ID Management for only colour printing jobs. (The Department ID Management is not applied to Black-and-White print job.)

In addition to printing, you can manage fax transmission and network scan jobs from the computer.

Add to Profiles

By adding print settings to profiles, you can recall the same settings. To add settings to profiles, click [Add] for [Profile] on the printer driver screen → set the name and icon → click [OK].

Changing the Default Settings

By specifying the print settings in the printer driver screen on the Control Panel, instead of in an application, you can register the settings as the default settings. Follow the procedure below to display the printer driver screen from the control panel.
If you are using Windows XP:
Click [Start] → [Printers and Faxes].
Right-click the printer icon → select [Properties].
You can also display the printer driver screen by following the procedure below.
Click [Start] → [Control Panel] → [Printers and Other Hardware].
Click [Printers and Faxes] → right-click the printer icon → select [Properties].
If you are using Windows Vista:
Click (Start) → [Control Panel] → [Printer].
Right-click the printer icon → select [Properties].
