Configuring the E-mail Notification Settings (HTTPS)

When HTTPS is used as the protocol for communicating with the Remote Monitoring Server, e-mail notification can be sent to a destination registered in advance when a problem occurs with this software.
This section describes the procedure for configuring e-mail settings. The settings for sending e-mail differ according to the mail server. Refer to the procedure for each method.

Configuring the Settings for Sending E-mail (Microsoft Exchange Online (Graph API))

Configure the settings in this software after configuring the settings required in the Microsoft Entra Admin Center.
IMPORTANT
For environments using a proxy, the appropriate network and security settings must be configured in order to access the various servers required for sending e-mail.

Configure the Various Settings in Microsoft Entra Admin Center

NOTE
For information on operating Microsoft Entra admin center, see the documentation from Microsoft.
1.
Sign in to Microsoft Entra admin center with an administrator account that can operate Microsoft Entra ID.
2.
Register an application to Entra ID.
Register the information for this software to Entra ID.
Enter a name of your choice as the application name.
Select the type of supported accounts.
Select the optimal account type for your environment.
3.
To use a client secret for authentication, add the client secret.
NOTE
You can also use a key and certificate for authentication. In that case, it is necessary to configure Entra ID in this software, then upload the key to Microsoft Entra admin center. For information on the procedure, see the following.
In Microsoft Entra admin center, add the client secret.
In the list of client secrets, copy the following information, paste it to a text editor such as Notepad, then save it.
Value of the client secret that was added (not the ID)
Expiration date
NOTE
This information is required in the settings of this software.
4.
Add access permissions for Graph API.
Select the following access permission to allow the application.
Mail.Send
Grant administrator agreement.
5.
Copy the following information on the screen of Microsoft Entra admin center, paste it to a text editor such as Notepad, then save it.
Application (client) ID
Directory (tenant) ID
URL to use for logging in
URL for Graph API
NOTE
This information is required in the settings of this software.

Configuring the Settings for Sending E-mail in This Software

1.
Select the [System] menu > [Notification Settings] > [E-Mail Notification Settings] tab.
2.
Enter the e-mail addresses.
Enter the destination e-mail addresses in [To]/[Cc].
To specify multiple addresses, separate them with a comma or line break.
Enter the source e-mail address in [Sender E-Mail Address].
IMPORTANT
For [Sender E-Mail Address], enter the e-mail address of a user with a mail box in Exchange Online.

In [E-Mail Sending Server], select [Microsoft Exchange Online (Graph API)].

Enter the values you confirmed in Microsoft Entra admin center.
[Directory (Tenant) ID]
Enter the directory (tenant) ID you made a note of when operating Microsoft Entra admin center.
[Application (Client) ID]
Enter the application (client) ID you made a note of when operating Microsoft Entra admin center.
[Microsoft Entra ID authentication URL]
A URL is entered by default. To use another URL, change the URL.
[Microsoft Graph API Endpoint]
A URL is entered by default. To use another URL, change the URL.
5.
Configure the settings for using a client secret for the authentication performed when sending e-mail.
This operation is not required when using a key and certificate for authentication. Perform the operations from step 6.
Select [Use client secret for authentication].
Enter the values you confirmed in Microsoft Entra admin center.
[Client Secret]

[Expires]
Client secret expiration date you made a note of when operating Microsoft Entra admin center
Proceed to step 9.
6.
To use a key/certificate for the authentication performed when sending e-mail, register the key/certificate to this software.
When using a client secret for authentication, the operations from steps 6 to 8 are not required. Perform the operation in step 5.
NOTE
Authentication can use either a self-signed certificate generated in this software or a certificate issued by a certificate authority. The generated or uploaded certificate is saved to this software. A certificate that is already registered will be overwritten.
You can use a certificate with 2048-bit RSA as the key algorithm and SHA256/SHA384/SHA512 as the signing algorithm.
Select [Use key/certificate for authentication].
When Using a Self-Signed Certificate
Click [Generate Key] next to [Generate Key for Self-Signed Certificate].
Information on the generated key is displayed in [Key Registered for Authentication].
When Using a Certificate Issued by a Certificate Authority
Click [Choose File] on [Upload Key for Authentication].
Select the certificate file to upload.
Files with the".pfx" or ".p12" extension can be selected.
Enter the password for the selected file.
Click [Upload].
Information on the uploaded certificate is displayed in the [Key Registered for Authentication] field.
7.
Download the key and certificate.
Click [Download Certificate] next to [Key Registered for Authentication].
Click [Save] on the bottom of the [Notification Settings] page.
8.
Register the downloaded certificate to the Entra ID application.
Sign in to Microsoft Entra admin center with an administrator account that can operate Microsoft Entra ID.
Upload the certificate that you downloaded.
9.
Send a test e-mail.
Click [Send Test E-Mail].
If an error occurs when sending the test e-mail, edit the settings and click [Send Test E-Mail] again, until the test is successful.
10.
If a test e-mail is successfully sent when [Send Test E-Mail] is clicked, apply the settings.
Click [Save].
11.
Configure the conditions for performing e-mail notification.

Configuring the Settings for Sending E-mail (SMTP Server)

1.
Select the [System] menu > [Notification Settings] > [E-Mail Notification Settings] tab.
2.
Enter the e-mail addresses.
Enter the destination e-mail addresses in [To]/[Cc].
To specify multiple addresses, separate them with a comma or line break.
Enter the source e-mail address in [Sender E-Mail Address].
3.
In [E-Mail Sending Server], select [SMTP Server].
Enter the SMTP server address in [SMTP Server Address].
Enter the port number used for communicating with the SMTP server in [Port].
To use TLS when communicating with the SMTP server, select the [Use TLS] check box.
To use user authentication when communicating with the SMTP server, select [User Authentication], and enter the authentication information in [User Name] and [Password].
4.
Send a test e-mail.
Click [Send Test E-Mail].
If an error occurs when sending the test e-mail, edit the settings and click [Send Test E-Mail] again, until the test is successful.
5.
If a test e-mail is successfully sent when [Send Test E-Mail] is clicked, apply the settings.
Click [Save].
6.
Configure the conditions for performing e-mail notification.

Configuring the Conditions for Performing E-mail Notification

1.
Select the [System] menu > [Notification Settings] > [Notification Conditions] tab.
2.
Select the check boxes of the conditions for performing e-mail notification.
[Canon Data Collection Agent auto update fails]
Performs e-mail notification when this software fails to automatically upgrade.
[License agreement is updated]
Performs e-mail notification if user agreement is required when this software automatically upgrades.
[Registration of a managed device fails]
E-mail notification is performed as indicated below.
When a duplicate device is found in the device list retrieved from the Remote Monitoring Server, notification is performed.
A duplicate device is deemed to exist in the following cases:
If the device list retrieved from the Remote Monitoring Server has a device with the same device ID (excluding the leading zero)
If the device list retrieved from the Remote Monitoring Server has a device with a device ID matching the MAC address, serial number, or device ID (excluding the leading zero) registered in this software
Device lists retrieved between 09:00:00 and 16:59:59 local time are checked. Notification is performed once per day. The following information is included in the notification.

When executing a [Device Registration] task, notification is performed for each device if either of the following problems exist in the registration information of a target device. Notification is only performed the first time that a problem is detected.
A problem with the combination of serial number and MAC address and IP address
A problem with the combination of serial number and MAC address and device ID
The following information is included in the notification. (The IP address and MAC address are only included if the [Information in Notification E-Mail] check box is selected.)

NOTE
In the following case, e-mail notification is always performed.
If [E-Mail Sending Server] is set to [Microsoft Exchange Online (Graph API)], when the client secret and certificate are valid for fewer than 30 days
3.
In [Information in Notification E-Mail], specify whether to include the IP address and MAC address of the device in the e-mail.
NOTE
If you choose to not include the MAC address, the device ID will also not be included for a device that uses its MAC address as the device ID.

Click [Save].
