Cautions and Restrictions

This section describes cautions and restrictions of Desktop.

Libraries/Folders

If you have changed the following properties in Document Server, you must reconnect to the library to display the changes.
Document Server Library Properties
SharePoint Server Library Properties
If you select a folder that is registered as a Personal Library by another user, you can use it by changing the owner information.
If you select a folder that is registered as a Network Library by another user, you can use it by changing the owner information.
To perform the following operations, the library must be connected.
Instances of Document Server Library that are not connected
SharePoint Server Library
Libraries on a network drive that requires authentication
When Desktop Browser is started with Administrator privileges enabled, you cannot drag and drop to add documents to a library.
Even if you open a document in a Personal Library and save it again, the update date and time displayed do not change until you update the document again.
A warning message is displayed if the selected Network Library (database) is managing more than 20,000 documents or the capacity of the database is 2 GB. In this case, perform the following operation for the selected Network Library (database).
Select the [File] menu > [Option] > [Settings of Valid Range of Database], and reduce the number of documents managed by the database.
Deselect the [Use database for management of folders and files] check box in the [Change Registration Information for Network Library] dialog box.
The maximum number of characters allowed as well as text strings available for a document or user name depend on the file and user name restrictions in the computer you are using.
No attributes can be added to the documents and folders to be saved in Advanced Space. Therefore, all the files and folders including administration files that are used by Desktop, such as the Recycle Bin folder, are referred from the operation panel on the device.
If surrogate characters are specified as a keyword or a value when searching a Document Server Library or SharePoint Server Library, search results may not be found properly.
During the process of generating the preview of a document within the folder selected in the File List View Window, you cannot move the folder. However, you can move *.iwb/PDF/*.xps/image files.

IWB Documents

Only pages within 1200 mm (47 1/4 inch) can be imported into IWB documents.
If Mail Merge fields are set in an IWB document, Mail Merge fields cannot be edited with commands from the annotation mode. In addition, these Mail Merge field's frames are not displayed.

Importing Documents into IWB Documents

When Desktop Editor is started with Administrator privileges enabled, documents cannot be imported to Desktop Editor by dragging and dropping a document or using Desktop Document Writer.
When a 3D PDF document is imported to an IWB document, default images for the 3D data are displayed in the 3D sections of the 3D PDF document, but are not displayed in 3D. If no default images exist, the 3D sections cannot be previewed or printed.
If you import an image whose width or height exceeds 482.6 mm (19 inches), it is reduced to fit inside 482.6 mm (19 inches), with the aspect ratio retained.
If a paper size is specified in the output paper size settings, the image is reduced to fit the specified paper size.
If [Auto (Size)] is selected in the output paper size settings, the image is reduced to fit the paper size specified in [Reduced Image Paper Size]. However, the paper size selected when printing may differ from the specified paper size, depending on the shape of the image.
When multiple output paper sizes are selected (for example, A4 and A3), the image is reduced to fit the larger paper size.
If information for the resolution is not included in the image, the image is converted to 96 dpi when reduced.
[File] menu > [Option] > [System Settings] > [Common Settings] > [Import] > [Reduced Image Paper Size]
When you select a document in Windows Explorer and right-click it, if the [Print] menu is not displayed in the right-click menu, you cannot import the document into Desktop Editor. In this case, execute the print process to import the document by specifying Canon Desktop Document Writer as the printer in the print screen of the application that is used to create the document.
Importing an IWB document into Desktop Editor does not maintain the chapter organization and print settings.
For a PDF with an attached file, only the main body is imported into Desktop Editor and the attached file(s) is not imported. If an attached file is not encrypted, it is saved as original document data in an IWB document. However, when you export the data, the condition of the attached file is not supported. Encrypted attached files and files attached on the encrypted PDF documents will not be imported.
When you import a PDF document or an image document into Desktop Editor from another application, the display may differ from the one that is displayed when the import is performed using the drag and drop operation.
PDF documents currently being edited in the Annotations Mode of Desktop Editor cannot be imported into the same Desktop Editor.

PDF Documents Edited with Software Other Than Desktop

A PDF document that is certified through the signature can be opened in the certified document mode. In this case, the document cannot be edited or saved.
Annotations that cannot be added with Desktop are displayed as unknown annotations. Editing operations for unknown annotations are limited.
Even if the properties of annotations cannot be set with Desktop, the annotations are displayed as set. However, the properties of the annotation may not be displayed, and may appear only as blank spaces. In addition, when changing the properties, only the properties that can be set with Desktop can be changed.

Desktop Office Toolbar

If problems are found by the verification function when opening a file with Microsoft Office 2010/2013/2016, that file cannot be opened from the Desktop Office Toolbar unless the file verification function is turned off.

Printing/Sending Faxes

When you print a document with a text stamp annotation attached, the color concentration between the stamp characters and frame may differ in the print results. Change the settings of your printer driver to make sure they are printed with the same color.
Select the [Quality] sheet > [Details] or [Process Options] > [Mode Details] and change the setting to any value other than 1 BPP.

If the version of Desktop Communicator installed on the device is 2.0.0 or earlier, address groups registered to 01 to 10 in the address book cannot be obtained. However, groups can be obtained from the one-touch button address book.
If the version of Desktop Communicator installed on the device is 1.1.0, the address of the one-touch button cannot be obtained.
Even if you click [No] when the following confirmation message is displayed, printing may be performed because the internal print process has already finished.
[The printing process is taking some time, or a supported application related to documents may be running. Check the printer if printing has finished. Also, if a supported application related to the documents being processed is running, quit the supported application. Do you want to continue?]
You cannot select a folder and print the contents by selecting the [File] menu > [Print]. In this case, use a printer output button.
If monitoring is not performed properly with the Printer Monitor or Quick Printing Tool after adding a printer or changing the device configuration on the printer properties screen of Windows, restart the Printer Monitor.
If a job without a department ID and password is sent to a device which implements department management, the job will be deleted. Because the job status cannot be checked, status of this job will be treated as "Unknown." When a job fails in authentication or tries to print pages exceeding the allowed limit, it will cause an error.
The secured print function sets the maximum number of jobs waiting for print instruction which can be retained by a device simultaneously. If the number of such jobs exceeds the maximum limit, the device will delete the job and may not be able to determine how the deleted job has ended.
When a fax job is sent to a device with no fax board installed, the job status will be shown as "Error."
For a finished job which has been processed only by Windows, job completion notification is not sent.
For a job deleted while being spooled by an application or deleted by the Windows printer manager, job completion notification is not sent.
When a job is divided into multiple jobs by an application or driver, each of the divided jobs is treated as a separate job and job status display and job completion notification are available for each. When a job is divided into multiple jobs within a device, job completion notification is sent for one of the divided jobs that completes first.
When multiple job completion notifications have been sent simultaneously, only one of them is displayed because notifications are overwritten. The log list shows job completion notification for each job.
When a fax is sent to multiple destinations and it fails in transmission for any one of them, the job completion notification shows an error. The log list shows the transmission result for each destination.
If the settings that have been already configured for the document that is displayed in the Desktop Editor screen and the settings configured with the template cannot be applied at the same time, the settings of template will be given priority. If the settings that have been already configured can be applied at the same time, the original settings are retained as is.
The print preview of Desktop Editor does not reflect adjustment of the print area including margins specified with the printer properties. Therefore, if you change the print area with the printer properties, the print result may differ from the preview.
When you perform black and white printing, the color density of the image displayed in the preview may not be accurately reflected in the print results depending on the printer driver or device you use.
When you print a document in which transparent objects exist, it may be drawn with different color tones on some devices. When this happens, it may be solved using one of the following methods:
Create an IWB document by specifying [Replace with Halftone], [Replace with Image], or [Output with Transparent Patterns] for the pattern data process in Desktop Document Writer
Create a PDF document using Adobe Acrobat and import it in Desktop Browser
Print the document with a PS printer
If you specify the booklet printing with Desktop Editor, the header/footer is printed within the original page range specified by Layout Settings. Therefore, depending on the layout settings, images or characters of the original may overlap with the header/footer.
The print location of the header/footer may overlap with margins and the header/footer may disappear, depending on the paper being used. Before printing, use the print preview in the Work Window to make sure that the header/footer is displayed correctly. For information on adjusting the position of the header/footer, see the following.
In some applications, when you print a document using the printer output button, the default printer for your computer may be used instead of the specified printer. To print a document associated with such an application, import the document into Desktop Editor or launch the associated application and then print the document.

Annotations

Depending on the network connection conditions, it may take some time until the image stamp list is displayed after clicking for (Stamp) on the ribbon.
You cannot select grouped annotations from the annotation list.
You cannot move annotations outside of the displayed page area.
In the following cases, part of the annotation will protrude outside the area of the page and not be displayed. When you move or copy an annotation with this type of hidden part, the hidden part may become displayed in the page area.
If a display of annotation is also divided when a page is divided
If an annotation larger than the area of the page is pasted
When you select 144 or more annotations in Desktop Editor, the selection positions may deviate from their original positions.

Reducing Margins

When there are a large number of objects such as more than 1,000 within one page in a PDF document, a significant amount of time may be taken in various edit processes. Even though it may appear Desktop Editor is being hung up, it will recover in a while. Since the time to recover depends on the number of objects, it may take a significantly long time.
When you reduce the margin(s) in a page that includes objects grouped between multiple layers, change in the overlapping shapes may result in an unexpected appearance. In this case, you cannot restore the normal display even by using the [Undo] tool button. Objects grouped between multiple layers may be created when exporting the IWB document in the PDF format. They also may be created by another application.

Editing Objects

The Edit Original Pages Mode uses Unicode information when editing text. When Unicode information cannot be retrieved, text cannot be edited.
In PDF documents (Searchable PDF) sent from an imageRUNNER/imageRUNNER ADVANCE device, transparent text objects generated with the OCR processing are positioned over image text. When you edit in the Edit Original Pages Mode, the positions of the transparent text objects may deviate from the text objects of the visible image text. In this case, if you perform a text search, the results may not match the visible image text.

Mail Merge Fields

Excel files set as the database are read-only when the Mail Merge Print Settings Mode is running.
If the Mail Merge Print Settings Mode is started when files set as the database are opened, the Mail Merge Print Settings Mode starts without being connected to the database. In this case, a message is displayed.
If a date and time are entered into a record, the record may be recognized not as text but as a date/time in Desktop Editor. If you use this record as a Mail Merge field in Desktop Editor, it will be displayed differently in the record and the Mail Merge field.
If the date 1899/12/30 and a time are entered in a record: The time that was entered is displayed in the Mail Merge field (the date is not displayed).
If a date before or after 1899/12/30 and the time 00:00:00 are entered in a record: Only the date is displayed in the Mail Merge field (the time is not displayed).
If the font set in the text field is not registered on your system, a replacement font will be used instead. In addition, if a character that cannot be drawn using the specified font is present, the character will be replaced with a font that can draw it. You cannot specify the replacement font.
If you move to another page and undo one of the following operations using the [Undo] tool button, the Work Window display will not switch to the page for the Mail Merge field that the operation was undone for.

Upgrading from the Previous Version

When displaying a thumbnail of a PDF document with annotations created in Desktop V2.0.1 or earlier, the annotations are not displayed.
You can convert annotations, made with Desktop V2.0.1 or earlier that are inserted in a document in a library or folder, into PDF annotations with the following procedure.
Select the library/folder, and click [Convert to PDF Format Annotations] on the ribbon or toolbar.
Right-click the library/folder > select [Convert to PDF Format Annotations].
If a large number of documents exists in the specified library/folder, this operation may take a while to finish.

Windows Operations

When the maximum number of connections to the shared folder is specified and it is currently reached, you may not be able to access the shared folder from the Windows Explorer after exiting Desktop Browser. In this case, increase the maximum number of concurrent connections or wait for a while and try again.

Quick Printing Tool

[Print], [Print Settings], or [Fax] displayed when a document is dragged and dropped into the Quick Printing Tool may not be displayed depending on the device settings in the Quick Printing Tool. For example, if only a printer is set, [Fax] is not displayed.
