This section describes cautions to take when using Desktop Browser.

Preparation for Using Desktop

If you have changed the following properties in Document Server, you must reconnect to the library to display the changes.
Document Server Library Properties
SharePoint Server Library Properties
You can register up to 20 output icons in the Output Bar. When 20 output icons are already registered, delete an existing output icon to register a new icon.
You can register up to 100 libraries. You cannot register more than 101 libraries of all types.
The following Windows Folder cannot be specified as a Personal Library.
Folders on a drive other than a hard disk or network drive of the computer that you are using
Windows folder (e.g. "C:\Windows")
Folders for which you do not have the write permissions (Windows)
Folders configured as a Personal Library
Folders for which a system attribute(s) is configured
Folder with hidden file attribute
The following Windows Folder cannot be specified as a Network Library.
Folders on a drive other than a hard disk or network drive of the computer that you are using
Windows folder (e.g. "C:\Windows")
Folders for which you do not have the write permissions (Windows)
Folders already configured as a Network Library
Folder with hidden file attribute (However, registration is possible if it is a directory attribute.)
If you select a folder that is registered as a Network Library by another user, you can use it by changing the owner information.
When the maximum number of connections to the shared folder is specified and it is currently reached, you may not be able to access the shared folder from the Windows Explorer after exiting Desktop Browser. In this case, increase the maximum number of concurrent connections or wait for a while and try again.
To perform the following operations, the library must be connected.
Instances of Document Server Library that are not connected
SharePoint Server Library
Libraries on a network drive that requires authentication

Adding Documents from Libraries

You cannot import a document to the same location you imported it from.
Files with problems relating to the file verification function in Office 2010/2013 cannot open the file in the Office toolbar unless the file verification function is turned off.
There are the following restrictions on the number of characters that can be used for document names: In addition, you cannot rename a document with the same name as a folder or document that already exists in the same hierarchy.
When renaming a document in a Personal Library/Network Library: Up to 255 characters
When you rename a folder in a Document Server Library: Up to 128 characters
When you rename a folder in a SharePoint Server Library: Up to 128 characters
If you launch Desktop Browser with administrator permissions enabled in Windows Vista or later, you cannot drag and drop a document to add it to a library. Administrator permissions are enabled in the following cases.
For Windows Vista/7:
Selecting the [Start] menu > [Canon iW] > [iW Desktop] > [iW Desktop], or right-clicking an [iW Desktop] shortcut on the desktop and selecting [Run as administrator].
Selecting the [Start] menu > [Canon iW] > [iW Desktop] > [iW Desktop], or right-clicking an [iW Desktop] shortcut on the desktop and selecting [Properties] > the [Compatibility] tab > [Run this program as an administrator], then clicking [OK].
For Windows 8/Windows 8.1:
Right-click the [iW Desktop] tile on the [Start] screen > click [Run as administrator] from the application bar, or right-click the shortcut icon for [iW Desktop] created on the desktop, and select [Run as administrator].
Right-click the shortcut icon for [iW Desktop] created on the desktop, and select [Properties] > the [Compatibility] tab > [Run this program as an administrator] > click [OK].

Basic Documents/Folders Operations in Desktop

When you rename a document in a Document Server Library or SharePoint Server Library, a message is displayed to confirm whether or not to check it out. In this case, click [Yes]. However, in the following cases, no operation is necessary because check out is performed without displaying a confirmation message.
When [Display confirmation message when checking out documents] is not selected in the [Settings] > [System Settings] > [Browser] > [Display Dialog Box]
When the [Do not show this confirmation message again when checking out documents] check box is selected in the confirmation dialog box for checking out the document
In the Document Server Library/SharePoint Server Library, you cannot perform the following operations if you do not have the edit permission (Document Server) or higher for that location.
Creation of shortcut
Rename
Copying/duplicating folders
Moving folders
Creating folders
Copying/duplicating documents
Moving/deleting documents
Up to 50 levels of hierarchy can be created including libraries and folders.
During the process of generating the preview of a document within the folder selected in the File List View Pane, you cannot move the folder. However, you can move iwb/PDF/xps/image files.
There are the following restrictions on the number of characters that can be used for folder names: In addition, you cannot rename a folder with the same name as a folder or document that already exists in the same hierarchy.
When renaming a folder in a Personal Library:
The path to the folder displayed in the address bar is under 220 characters, excluding "file:///"
When renaming a folder in a Network Library:
The path to the folder displayed in the address bar is under 220 characters, excluding "file:"
When you rename a folder in a Document Server Library/SharePoint Server Library:
The path to the folder displayed in the address bar is under 256 characters, excluding "http://hostname" or "https://hostname/", and the folder name is under 128 characters
Some characters cannot be used in document names. Such characters may vary depending on the library.
The following characters cannot be used.
"\", "/", ":", "*", "?", """, "<", ">", "|", ",", periods at the end, control codes
The following strings cannot be used for document names.

Document names cannot start with the following strings.

In a Document Server Library/SharePoint Server Library, you cannot use the following characters as a document name:
Recycle Bin and other characters prohibited in Document Server

Characters that you cannot use in folder names in the Document Server Library:
"Recycle Bin" and other prohibited characters in Document Server.

Some characters cannot be used in URLs in Document Server Library/SharePoint Server Library.

The number of folders you can create within the same level of folder hierarchy is 5,000. However, when creating a folder in a Personal Library/Network Library created in the Advanced Space, this limit becomes 1,000.
There are the following restrictions on the number of characters that can be used for document names: In addition, you cannot rename a document with the same name as a folder or document that already exists in the same hierarchy.
When renaming a document in a Personal Library/Network Library: the path to the document that is displayed in the address bar must be no more than 220 characters, excluding "file:///" or "file:" at the beginning of the path
When you rename a folder in a Document Server Library: Up to 128 characters
When you rename a folder in a SharePoint Server Library: Up to 128 characters
If you select a folder that is registered as a Personal Library by another user, you can use it by changing the owner information.
If you register a folder that is located in an upper or lower directory as a network library to the folder that has already been registered as a Personal Library, the operations you perform to the registered libraries will be treated as operations to a Personal Library.
If the Windows authentication dialog box is displayed when specifying the transfer source folder of the hot folder, you must select [Remember my credentials]. If it is not selected, hot folder is not enabled because the transfer source folder cannot be monitored.
If [Register Shared Buttons] in [Restrict Quick Menu Use] is set to [OFF] in the device's Quick Menu settings, the Quick Menu of that device cannot be set in the Input Bar.
If a Microsoft Office application has never been started after it has been installed, opening an Office document (Excel, Word, PowerPoint) from Desktop Browser results in an error.
If your OS is Windows 7 (64-bit),  Windows 8 (64-bit) or Windows 8.1 (64-bit) and your Outlook is 2003/2007/2010/2013 (32-bit), the saved message file (.msg) is not displayed in the Preview Pane.
If you select a folder then drag and drop/copy and paste the folder, all documents within the folder are exported. If you select and export multiple documents/folders from the Desktop Browser search results, the documents/folders will be exported while maintaining the same folder structure.

Printing Documents from Desktop Browser

When you print a document with a text stamp annotation attached, the color concentration between the stamp characters and frame may differ in the print results. Change the settings of the printer driver to make sure they are printed with the same color.
Select the [Quality] sheet > [Details] or [Process Options] > [Mode Details] and change the setting to any value other than 1BPP.

You cannot select and print a folder and Recycle Bin.

Sending Faxes/E-Mail from Desktop Browser

If the version of Desktop Communicator installed on the device is 2.0.0 or earlier, address groups registered to 01 to 10 in the address book cannot be obtained. However, groups can be obtained from the one-touch button address book.
If the version of Desktop Communicator installed on the device is 1.1.0, the address of the one-touch button cannot be obtained.
Using the mail output icon when Microsoft Outlook or Outlook Express has never been started to attach a document to an e-mail results in an error.

Circulating Documents

You can register up to 20 output icons in the Output Bar. When 20 output icons are already registered, delete an existing output icon to register a new icon.
Enter a button name for the button to display in the Output Bar using up to 40 characters.
Some printer drivers cannot be registered as a printer output icon. When setting the printer output icon, only printers that can be registered are displayed.

Other Cautions and Restrictions

Common

When you customize the desktop screen in Windows Vista and configure high contrast color distribution, some characters displayed on the Desktop screen may disappear.
When you import a PDF document with 3D annotations into a binder document, the following occurs.
When there is a default image for which 3D annotation is assigned: that image can be previewed and printed, but not in 3D.
When there is no default image for which 3D annotation is assigned: previewing and printing are unavailable.
When you import a PDF document or image into a binder document from another application, the display may differ from the one imported using the drag and drop operation.
The maximum length of a document name to be displayed in a received fax log is 254 bytes. The end of a document name exceeding 254 bytes is not displayed.
Even if you open a document in a Personal Library and save it again, the update date and time displayed do not change until you update the document again.
When you open a document that is previewed in the Preview Pane in Desktop Browser from the File List View Pane, the preview display in the Preview Pane closes, and [Select a file to preview. If a preview is not displayed, select the file again.] is displayed.
The maximum number of the folder hierarchies that can be displayed in the File List View Pane in Desktop Browser is 50.
The total number of characters that can be displayed in a URL in the File List View Pane in Desktop Browser is as follows.
For a Personal Library/Network Library:
220 characters (excluding "file:///" and "file:")
For a Document Server Library/SharePoint Server Library:
256 characters (excluding "file:///" and "file:")
The maximum number of the items/files that can be displayed in the File List View Pane in Desktop Browser is 5000, including the Recycle Bin.
Annotations inserted in documents are brought in front of all objects when exporting as a PDF, so the document may be displayed differently.
The maximum paper size that can be used in Desktop is 1200 mm x 1200 mm (47 1/4 inch x 47 1/4 inch). In addition, the maximum paper size that can be specified in Desktop Document Writer is 355.6 mm x 482.6 mm (14 inch x 19 inch). However, the maximum paper size that can be printed on is the maximum paper size of the device you are using.
Even if you click [No] when the following confirmation message is displayed, printing may be performed because the internal print process has already finished.
[The printing process is taking some time, or a supported application related to documents may be running. Check the printer if printing has finished. Also, if a supported application related to the documents being processed is running, quit the supported application. Do you want to continue?]
The maximum file size that can be stored in a Document Server Library or SharePoint Server Library is 300 MB.
There are no limitations on the file size that can be stored in the Personal Library (The limitations are based on the restrictions on the file system used as the Personal Library).

Printer Monitor and Document Monitor

When the Output Manager Service is stopped while the job status is displayed, the job status display icon of Printer Monitor is not displayed and is treated as "Unknown" after the Output Manager Service restarts.
When Printer Monitor is terminated while the job status is displayed, the job status display for the previous startup and completion notification are not available when Printer Monitor is restarted. However, when the printer/fax job is continued even after restarting Printer Monitor, the status of the job is displayed and the completion of the job is notified.
If a job without a department ID and password is sent to a device which implements department management, the job will be deleted. Because the job status cannot be checked, status of this job will be treated as "Unknown." When a job fails in authentication or tries to print pages exceeding the allowed limit, it will cause an error.
The secured print function sets the maximum number of jobs waiting for print instruction which can be retained by a device simultaneously. If the number of such jobs exceeds the maximum limit, the device will delete the job and may not be able to determine how the deleted job has ended.
When a fax job is sent to a device with no fax board installed, the job status will be shown as "Error."
For a finished job which has been processed only by Windows, job completion notification is not sent.
For a job deleted while being spooled by an application or deleted by the Windows printer manager, job completion notification is not sent.
For an application that directly prints jobs to the printer port, job status display and job completion notification are not available.
When a job is divided into multiple jobs by an application or driver, each of the divided jobs is treated as a separate job and job status display and job completion notification are available for each. When a job is divided into multiple jobs within a device, job completion notification is sent for one of the divided jobs that completes first.
The secured print function assumes that the user performs printing on the spot by entering a password into the device. Thus, job completion notifications are not available for the secured print jobs. When the job has been canceled or has terminated with an error or unknown status, job status notification is sent.
When multiple job completion notifications have been sent simultaneously, only one of them is displayed because notifications are overwritten. The log list shows job completion notification for each job.
When a fax is sent to multiple destinations and it fails in transmission for any one of them, the job completion notification shows an error. The log list shows the transmission result for each destination.
The maximum number of characters allowed as well as text strings available for a document or user name depend on the file and user name restrictions of the OS.
Since Desktop does not support surrogate characters, if any surrogate characters are contained in a document name, "??" is displayed in Printer Monitor instead.
An application may temporarily switch to another printer from the default printer and it may not be notified. In this case, switching of the monitor target will not be performed; therefore the printer will not be monitored.
If a document with the same name as a document that was deleted is moved to or added between the last monitoring time and the next monitoring time of Document Monitor, the document is not deemed to have been deleted.
The following documents are determined to be deleted when Document Monitor performs monitoring:
Documents whose names have been changed. (Documents whose names have been changed are treated as new documents.)
Documents that have been deleted, moved, or had their name changed outside of the Desktop Browser that you are using.
However, even if the document name has changed, as long as its name is the same as the last time monitoring was performed it will not be treated as deleted.

Others

When saving documents in any other format than an image format on Advanced Space, change the imageRUNNER ADVANCE settings. By default, only the documents in the image format can be saved.
No attributes can be added to the documents and folders to be saved in Advanced Space. Therefore, all the files and folders including administration files that are used by Desktop, such as the Recycle Bin folder, are referred from the operation panel on the device.
You cannot save documents immediately under Shared Space or Personal Space of Advanced Space. Save documents in folders in these spaces.
The total number of documents and folders that can be stored and displayed on each folder hierarchy in Advanced Space is 1,000, including administration files that are automatically generated by Desktop.
When a Document Server Library or SharePoint Server Library is specified as the destination of a document added in a hot folder, documents cannot be registered there unless the user has edit permission or higher.
When you cancel check out in the check out folder, cancel the check out status of the Document Server Library or SharePoint Server Library, and then delete the document. When you cancel check out while the document is open, canceling the check out is performed, but the deletion of the document fails. You must close the document before deleting it. Delete the document manually after closing it.
Desktop does not support Windows user switching.
If surrogate characters are specified as a keyword or a value when searching a Document Server Library or SharePoint Server Library, search results may not be found properly.
When you have performed any of the following operations by selecting a single document (or folder) on the Desktop Browser screen, you cannot cancel the operation. You can cancel the operation if you selected multiple documents (or folders).
Import
Read from the scanner
Export (even when document is located in the check out folder)
Conversion to PDF document
Paste (after copy or cut)
Duplication
Move
Deletion (even when document is located in the check out folder)
Creation of shortcut
Copy as the newest version (in the [Document Version List] dialog box)
When PDF documents created with Desktop V2.0.1 or earlier are exported as PDF files with a method other than copy and paste, all of their annotations are converted to PDF annotations. This enables Desktop annotations to be viewed with other PDF viewing software such as Adobe Acrobat. Also when printing, all of the Desktop annotations are printed after being converted to the PDF format.
When displaying a thumbnail of a PDF with annotations created in Desktop V2.0.1 or earlier, the annotations are not displayed.
You can convert annotations, made with Desktop V2.0.1 or earlier that are inserted in a document in a library or folder, into PDF annotations with the following procedure.
Select the library/folder > the [Tools] menu > [Convert Annotations to New Version].
Right-click the library/folder > select [Convert Annotations to New Version].
If a large number of documents exists in the specified library/folder, this operation may take a while to finish.
