Saving Documents from Annotation Editor

When editing a binder document or PDF document in Annotation Editor, you can save the document into a library.
Saving with a Name
Saving by Overwriting
Copying or Moving to the Destination Folder after Overwriting PDF Documents
Note
When editing a PDF document by starting Annotation Editor from Desktop Browser, the document is saved as a PDF document.
When editing a PDF document by starting Annotation Editor from Document Binder, the original document is not edited but saved as a new binder document.
When Annotation Editor is started from Document Binder, [Save As] cannot be selected.
If you started Annotation Editor from Document Binder, you cannot use a Document Destination Folder registered to the Toolbar.
If you open a binder document in Annotation Editor, you cannot use a Document Destination Folder registered to the Toolbar.

Saving with a Name

1.
Click  (Save As) on the Toolbar.
Or, select the [File] menu > [Save As].
The [Save As] dialog box is displayed.
2.
Select a library or folder in a library to save from the [Libraries] list.
3.
Specify the document name in [Document Name] and then click [Save].
A binder document or PDF document is saved in the library.
Note
If buttons are not displayed on the Annotation Editor Toolbar, set the buttons on the Toolbar. For more information, see the following.
If the [Checked Out Document Confirmation]/[Modify Shared Document] dialog box is displayed after you saved a document, select an appropriate update process and then click [OK].

Saving by Overwriting

1.
Click  (Save) on the Toolbar.
Or, select the [File] menu > [Save].
The binder document or PDF document is overwritten.

If buttons are not displayed on the Annotation Editor Toolbar, set the buttons on the Toolbar. For more information, see the following.
If the [Checked Out Document Confirmation]/[Modify Shared Document] dialog box is displayed after you saved a document, select an appropriate update process and then click [OK].

Copying or Moving to the Destination Folder after Overwriting PDF Documents

Previously, after saving a PDF document, it was necessary to move the document to the copy/move destination folder. If you create a Document Destination Folder button on the Toolbar, you can copy or move PDF documents to the destination folder registered in the button simply by clicking the button.

Creating a Document Destination Folder Button

1.
Select the [Tools] menu > [Create Document Destination Folder].
The [Document Destination Folder Settings] dialog box is displayed.
2.
Configure the advanced Document Destination Folder settings.
[Destination Folder]
Click [Browse], and select the folder to specify as the copy/move destination.
[Document Operations]
Select a document, and set the operation that is performed when the button is clicked.
[Move]
When the button is clicked, the document is moved to the specified folder.
[Copy]
When the button is clicked, the document is copied to the specified folder.
[Select before sending]
Select either [Move] or [Copy] when the button is clicked.
[Document Name Settings]
Set the document name to use after copying/moving documents.
[Do not rename the document]
Select this to not rename documents.
[Rename the document]
Select this to rename documents. Set the document name to use in the dialog box displayed by clicking [Edit]. For more information, see the following.
[Button Name]
Enter a name to display for the Document Destination Folder button using up to 40 characters.
[Button Image]
Specify the image to display in the button.
[Restore default]
Select to use the default image.
[Change image]
Select to specify an image to use. Click [Browse] and select the desired image in the displayed dialog box.
3.
Click [OK].

Copying or Moving to a Specified Destination Folder after Overwriting

1.
Click (Destination Folder) on the Toolbar.
After a PDF document is overwritten, it is copied or moved to the specified destination folder.
If [Select before sending] is selected for [Document Destination Folder Settings], select [Move] or [Copy].
When moving a PDF document, Annotation Editor automatically closes after the document is moved. When copying a PDF document, Annotation Editor stays open after the document is copied.
Note
Document Destination Folders created in Annotation Editor are also reflected in the Output Bar of Desktop Browser as output icons.

Automatically Renaming Moved/Copied Documents

You can automatically rename PDF documents that are copied/moved to a destination folder.
1.
Display the [Document Destination Folder Settings] dialog box.

Select the [Rename the document] in [Document Name Settings], and click [Edit].
The [Document Name Detailed Settings] dialog box is displayed.
3.
Set the method for renaming documents.
[Add]
Adds the item selected in [Available Items] to [Set Items].
[Remove]
Removes the item selected in [Set Items].
[Up]
Moves the item selected in [Set Items] up.
[Down]
Moves the item selected in [Set Items] down.
[Separator]
Select a separator character to insert between items.
[User Specified Character Strings]
If you added [User Specified Character Strings] in [Available Items], enter the custom string you want to insert in the document name.
[Name of Document to Send]
Displays the renamed document name templates in the order of [Set Items].
Note
You can set a combination of the following four items as the method for renaming documents.
[Original Document Name]: Inserts the original document name.
[Character Strings to Enter when Sending]: Enter a custom string to insert when copying/moving documents.
[User Specified Character Strings]: Inserts a fixed custom string.
[User Name]: Inserts the user name as the document name.
Selecting [Original Document Name] only is the same as selecting [Do not rename the document].
You can also double-click an item in [Available Items] to add it. You can also double-click an item in [Set Items] to delete it.
You can change the order of, add, or delete buttons by dragging and dropping.
4.
Click [OK].

Changing a Document Destination Folder Button

1.
Select the [Tools] menu > [Document Destination Folder Settings] > (list of Document Destination Folders that are set) > [Change].
The [Document Destination Folder Settings] dialog box is displayed.
2.
Change the advanced Document Destination Folder settings.
3.
Click [OK].

Deleting a Document Destination Folder Button

1.
Select the [Tools] menu > [Document Destination Folder Settings] > (list of Document Destination Folders that are set) > [Delete].
A dialog box confirming to delete the selected button is displayed.
2.
Click [Yes].
