Exporting Binder Documents as PDF Documents

You can export (save) a binder document as a PDF document.
Note
When you use Desktop to convert a document into a PDF document, the file size may become larger.
When you insert a sheet and then export a document as a PDF, all pages including the inserted sheet will be exported. For details on how to set the inserted sheet, see the following.
When a binder document is converted to a PDF document, the layout settings and the blank side of a 2-sided printing/booklet printing configured for the binder document (such as [Output Size], [Output Paper Orientation], [Page Layout], and [Enlarge/Reduce Original Page]) will be applied to the PDF document. If the following are set to be printed, they too will be converted into PDF documents.

In addition, refer to the following as necessary.

Click (Export as PDF) on the Toolbar.
Or, in the Document Binder screen, select the [File] menu > [Export as PDF].
The [Select Export Destination (PDF Documents)] dialog box is displayed.
The items to be configured in the [Select Export Destination (PDF Documents)] dialog box are as follows:
[Save in]
Select the destination for exported PDF documents.
[Library]
Select this option when saving them in a library.
[Windows Folder]
Select this option when saving them in a Windows folder.
[Export Range]
Specify the range of pages to convert to a PDF document.
[Document (All Pages)]
Select this option when exporting all pages as a PDF document.
[Print Pages]
Select this option when exporting the specified range of pages as a PDF document.
[Specify Range]
Enter the page numbers to export as a PDF document. When you select [Export Range], the [Print Pages] dialog box is displayed.
[Optimize PDF Document]
Adjust the PDF file size.
[Off]
Select this to not adjust the file size.
[Low Compression]
Save the file with image quality as a priority.
[High Compression]
Save the data with file size as a priority.
[Fast web view]
Select this check box to optimize the PDF document for display on the Web.
Converting a PDF document with this check box selected enables download times to be reduced when the PDF document is uploaded to the Web.
[Do not embed fonts]
Select this check box to convert without using embedded fonts when creating the PDF document.
Converting a PDF document without using embedded fonts enables the size of the PDF document to be reduced.
[Set Password]
Select this check box to set a password.
Important
If you create a PDF document with the [Do not embed fonts] check box selected, the content of the PDF document may change when you display the document. If you do not want the content of the PDF document to change, perform one of the following operations.
Install the fonts used in the PDF document to the computer that will display the document.
Export the PDF document with the [Do not embed fonts] check box deselected.
Note
When you have selected [Print Pages] in [Export Range], specify the range in [Specify Range] using the following format (within 255 characters).
When printing from page a to the last page: a-
("a" indicates the page number to start printing)
When printing from the first page to page n: -b
("b" indicates the page number to end printing)
When printing continuous pages: a-b
("a" and "b" indicate the page numbers to start and end printing respectively)
When printing discontinuous pages: c,d
("c" and "d" indicate the individual page numbers to print, separated by commas)
The entry order of Specify Range is not the order of export. Even when you enter "1,2" or "2,1", pages are exported in the order "1,2."
[Print Pages] is not available in [Export Range], when [Booklet Printing] and [Sheet for Insertion] are selected in [Print Style].
If you specify [Print Range], the document will be exported up to the sheet to which the specified page range is assigned, instead of the exported page range itself. For 2-sided printing, both sides are exported even if only the front side is specified in the range.
If buttons are not displayed on the Document Binder Toolbar, set the buttons on the Toolbar. For more information, see the following.

To attach a password to the PDF document, select the [Set Password] check box.

Select [Library] in [Save in], or a [Windows Folder], then click [OK].
If [Set PDF Password] is displayed, proceed to step 4.
If the [Save As] dialog box is displayed, proceed to step 8.
Note
When the [Set Password] check box is selected, the [Set PDF Password] dialog box is displayed.

Set a password in the [Set PDF Password] dialog box.
The items to be configured in the [Set PDF Password] dialog box are as follows:
[Compatibility]
Select one of the formats that are compatible with the converted PDF document.
[Require a password to open this document]
Select this check box to set a password for opening the document.
[Document Open Password]
Enter a password using up to 32 single-byte characters, numbers or symbols.
[Restrict editing and printing of the document]
Select this check box to set a password required for printing or editing the document.
[Printing Allowed]
Specify the conditions for printing. Select either [High Resolution] or [None].
[Changes Allowed]
Specify whether to allow editing of the document. Select either [Allow] or [None].
[Copying of Contents]
Specify whether to allow copying of the contents of PDF document. Select either [Allow] or [None].
[Change Permissions Password]
Enter the password to release the restrictions for PDF documents using up to 32 single-byte characters and numbers.

Click [OK] when finished.
The [Confirm Document Open Password] dialog box is displayed.
Note
The [Confirm Document Open Password] dialog box is displayed when the [Require a password to open this document] check box is selected.
6.
Enter the password in [Document Open Password] and click [OK].
The [Confirm Permissions Password] dialog box is displayed.
Note
The [Confirm Permissions Password] dialog box is displayed when the [Restrict editing and printing of the document] check box is selected.
7.
Enter the password in [Permissions Password] and click [OK].
The [Save As] dialog box is displayed.
8.
Select a library or Windows Folder in which to save the document.
9.
Specify the document name in [Document Name] and then click [Save].
The binder document is exported as a PDF document.
Important
When you overwrite an existing document using the PDF export process, depending on the access rights (Windows) to the existing document, the document to be overwritten may disappear after an error message is displayed. In this case, perform the PDF export process again.
Note
If the following dialog box is displayed after saving, select the appropriate update process and then click [OK].

If you have not selected the [Check in automatically after exiting the application that is editing documents] check box, you need to manually check in and check out documents.
