Configuring Information of the E-mail Server
Configure the information of the e-mail server to use for sending scanned data by e-mail and for sending and receiving scanned data by I-Fax. You can also configure the POP authentication before sending, SMTP authentication, and encrypted communication settings according to the usage environment.
This section describes how to configure the settings using Remote UI from a computer.
On the control panel, select [
Settings/Registration] in the [Home] screen or other screen, and then select [Function Settings] to configure the settings. [E-Mail/I-Fax Settings]
Administrator privileges are required.

Required Preparations
Prepare the following information and keep it close by.
E-mail address of the machine
Setting information of the e-mail server (SMTP/POP3 server name, port number, authentication setting, user name and password to be used for authentication, encrypted communication setting)
* For details about the setting information, contact your provider or network administrator. Depending on the usage environment, you can also refer to the information set in the computer e-mail software.
When encrypting communication with the e-mail server, specify the key and certificate to use for TLS encrypted communication. Using TLS

Log in to Remote UI as an administrator. Starting Remote UI

On the Portal page of Remote UI, click [Settings/Registration]. Remote UI Portal Page

Click [Send] 
[Network Settings - E-Mail/I-Fax Settings].

Enter the basic information of the e-mail server.
[SMTP RX]
Select this checkbox to enable the machine to receive e-mail (communication error e-mail) and I-Faxes as an SMTP server.
* The host name of the machine must be registered to the DNS server to receive SMTP.
[POP RX]
Select this checkbox to enable the machine to receive e-mail (communication error e-mail) and I-Faxes using a POP3 server.
[SMTP Server]
Enter the SMTP server name (host name or IP address) for sending e-mail and I-Faxes, using single-byte alphanumeric characters.
Input example: Host name

[E-Mail Address]
Enter the e-mail address of the machine using single-byte alphanumeric characters.
[POP Server]
When receiving e-mail or I-Faxes using a POP3 server or when using POP authentication before sending (POP before SMTP), enter the POP3 server name (host name or IP address) using single-byte alphanumeric characters.

[POP Login Name]
If you are using a POP3 server, enter the user name used for authenticating the POP3 server using single-byte alphanumeric characters.
[POP Password] / [Confirm]
If you are using a POP3 server, enter into both fields the password used for authenticating the POP3 server using single-byte alphanumeric characters.
[POP Interval]
Enter the interval at which to connect automatically to the POP3 server to receive e-mail and I-Faxes.
To not receive e-mail and I-Faxes automatically, enter [0]. In this case, e-mail and I-Faxes must be manually received. Receiving I-Faxes

Change the SMTP and/or POP3 port number according to your usage environment.
If the e-mail server port number is other than [25] for SMTP or [110] for POP3, change the SMTP and/or the POP3 port number using [Specify Port Number for SMTP TX/POP RX].

Configure the authentication and encryption settings for sending and receiving e-mail and I-Faxes according to your usage environment.
When Configuring POP Authentication Before Sending (POP Before SMTP) and Encrypted Communication with a POP Server
[Allow TLS (POP)]
Select this checkbox to encrypt communication with the POP3 server.
[POP Authentication Method]
Select the authentication method of the POP3 server.
To encrypt a password during authentication, select [APOP].
To authenticate after exchanging the authentication protocol with the server, select [POP AUTH].
[Use POP Authentication Before Sending]
Select this checkbox when using POP authentication before sending (POP before SMTP).
[Confirm TLS Certificate for POP RX]
Select this checkbox to verify the server certificate when performing TLS encrypted communication with the POP3 server.
To add a Common Name (CN) to the verification items, select the [Add CN to Verification Items] checkbox.

When Configuring SMTP Authentication and Encrypted Communication with an SMTP Server
[Allow TLS (SMTP TX)]
Select this checkbox to encrypt communication with the SMTP server.
[Use SMTP Authentication (SMTP AUTH)]
Select this checkbox to use SMTP authentication.
Configure the settings as follows according to the authentication method when accessing the SMTP server:

When using authentication information registered as the machine settings
[User Name]: Enter the user name to use for authentication.
[Password] / [Confirm]: Enter into both fields the password to use for authentication.
[Display Authentication Screen When Sending]: Clear the checkbox.
When entering authentication information for server access (when sending)
[User Name]: Enter the user name to use for authentication, as needed.*1

[Display Authentication Screen When Sending]: Select the checkbox.
*1Displays the authentication screen with the entered user name and password set.
When using authentication information registered for each user
Clear the [Display Authentication Screen When Sending] checkbox.
* When forwarding, the authentication information (user name and password set here) registered as the settings of the machine will be used regardless of the setting of the authentication method used to access the SMTP server.
[Confirm TLS Certificate for SMTP TX]
Select this checkbox to verify the server certificate when performing TLS encrypted communication with the SMTP server.

[Allow TLS (SMTP RX)]
To encrypt communications when receiving e-mail and I-Faxes with the machine as the STMP server, select [Always TLS] or [On]. To receive only encrypted communications, select [Always TLS].

Click [OK].
The settings are applied.
By clicking [Check SMTP Connection] or [Check POP Connection], you can check the connection with the SMTP or POP3 server using the current settings.

Log out from Remote UI.
