Sending Faxes Using Document Binder from the Desktop Browser Screen

You can send faxes using the Document Binder function from the fax output icons in the Desktop Browser screen.
With this sending method, multiple documents can be sent at once.
Note
To send a document by fax using Output Bar in the Desktop Browser screen, you must add a fax output icon to the Output Bar. Or, you must select the [Combine selected documents into one document with Document Binder to send fax] check box to fax multiple documents all at once. For more information on how to add and configure multiple documents, see the following.
If you use the Windows fax properties dialog box to change the name of a fax when that fax has already been added to the fax output icons, you will not be able to fax that document using a fax output icon.
If you import an image whose width or height exceeds 482.6 mm (19 inches), it is reduced to fit inside 482.6 mm (19 inches), with the aspect ratio retained.
If a paper size is specified in [Output Size], the image is reduced to fit the specified paper size.
If [Auto] is selected in [Output Size], the image is reduced to fit the paper size specified in [Reduced Image Paper Size]. However, the specified paper size may vary from the paper size which is automatically selected when printing depending on the shape of the image.
[Settings] > [System Settings] > [Common Settings] > [Import] > [Reduced Image Paper Size]
When multiple output paper sizes are selected (for example, A4 and A3), the image is reduced to fit the larger paper size.
If information for the resolution is not included in the image, the image is converted to 96 dpi when reduced.
To send faxes with the IP fax function, your device must support the IP fax function.
In addition, refer to the following as necessary.
1.
Select a document/folder to fax in the File List View Pane, and click (fax output icon).
Or, drag and drop the document/folder onto (fax output icon).
When you select one document, proceed to step 4.
When you select multiple documents or folders, the [Multiple Document Order Settings] dialog box is displayed. In this case, proceed to step 2.
Note
If you right-click to select the document or folder, and drag and drop it to (fax output icon), the following menu is displayed.
[Multiple Document Order Settings]: Displays the [Multiple Document Order Settings] dialog box.
[Cancel]: Cancels a fax job.
When the selected documents contain a binder document, a confirmation message appears to inform you that any existing print settings for that binder document will not be reflected when printing. Click [OK]. When you select the [Do not show this message again] check box, this message will not appear the next time.
Highlighting is removed from highlighted, unread documents in a monitored folder.

Select a document in [Document Processing Order] and click [Up] or [Down] to specify the order in which to fax the documents.
Note
You can add documents/folders to the [Multiple Document Order Settings] dialog box by dragging and dropping them.In this case, you can specify the position to add them.
When you drag and drop a folder, only the first level of the folder is added. The second and subsequent levels are not added.

Click [OK].
The [Fax Sending Settings] dialog box is displayed.
Note
When [Check preview with Document Binder before sending fax] is selected in the fax output icon settings, Document Binder starts. For more information, see the following.
If [Retrieve fax number when sending fax from properties of document] is selected in the Desktop Browser system settings, a fax number that is automatically retrieved from the property of document appears in [Destination] in the [Fax Sending Settings] dialog box. Therefore, when faxing multiple documents with different fax numbers, the fax number for each property will be shown in [Destination].
[Settings] > [System Settings] > [Browser] > [Fax] > [Retrieve Fax Number]

Configure the fax destination.

Configure the cover sheet settings if necessary.

To specify a job name for the fax document to be sent, enter the name using up to 254 bytes in [Document Name].
7.
To send a document using an external number, select the [Specify Outside Dialing Prefix] check box and enter the fax number in [Outside Dialing Prefix].
8.
When specifying the line to be used, select it from the [Select Line (G3/G4)] pull-down menu.
Select [Auto (G3/G4)] when specifying line is not required. Send faxes using the prior sending line specified by the device.
Note
If you send a fax with the IP fax function, this setting will be disabled.
9.
Select [Insert annotations and send] if you want to also send annotations via fax.
Note
However, annotations added with something other than Annotation Editor may be sent as a fax regardless of whether you select the [Insert annotations and send] check box, depending on the type of annotation.
10.
Click [OK].
The faxing starts.
