Managing Groups with Department ID (Department ID Management)

Use Department ID Management to collectively manage users registered to the local device in a group (Department ID) such as a company department.

What You Can Do with Department ID Management

By using Department ID Management, you can do the following:
Enhance Security
Restrict operations for an unknown Department ID.
Set a PIN for Department ID to require authentication by entering the Department ID and PIN when a user logs in. (DepartmentID Authentication)
* Normally, the User Authentication login service is used for user authentication. If you want to use DepartmentID Authentication instead, change the login service. Changing the Login Service for User Authentication
Monitor Device Usage and Manage Costs
Tally and keep track of the number of printed, scanned, and copied pages by Department ID.
Set the maximum number of pages that can be printed, scanned, and copied by Department ID to manage the number of sheets of paper that can be used.

Department ID

To log in with Department ID Management, each user must have a Department ID assigned in advance.
Each Department ID can be assigned a PIN and restricted on the number of pages used.
You can register up to 1,000 Department IDs.
Department ID and PIN
When a Department ID is configured to use a PIN, users with that Department ID will be asked to enter a PIN when logging in. (DepartmentID Authentication)
Specify a number up to seven digits. If you specify a number less than seven digits, zeros are added to the beginning to create a seven-digit number.
You cannot register a Department ID or PIN consisting of all zeros such as "00" or "0000000."
System Manager ID
The System Manager ID is a Department ID for an administrator. The System Manager ID has the Department ID and PIN registered in advance.
The System Manager ID belongs to users with Administrator privileges. The Department ID is set automatically when a user with Administrator privileges logs in with Department ID Management for the first time.
* You can also require that a seven-digit number be entered for the System Manager ID and PIN. For details, contact your dealer or service representative.

Department ID Management Procedure

To use Department ID Management, follow the procedure below.

Step 1
Set up Department ID Management.
Step 2
Start Department ID Management.
Step 3
When restricting operations from a user with an unknown Department ID, set the Department ID and PIN on each computer using the machine.
Step 4
Perform Department ID Management.
