There are several cautions to note when handling device settings information. Please use this software after familiarizing yourself with the following information.
In this section, importing device settings information files from various menus on the devices and distributing device settings information to devices from a product other than devices is referred to as "applying device settings information to devices."
IMPORTANT
This section provides some typical examples that need special attention. Also sufficiently check settings that are not mentioned here to confirm that they are consistent.

Cautions for Editing Settings with This Software
This section describes cautions for editing settings with this software.
Items That Can Be Edited with This Software
Only some settings can be edited with this software.
For information on the items that can be edited with this software, see the following.
For information on the device settings information that can be read with this software, the range of items that can be edited, and the range of items that can be output from this software, see the diagram on the following page.
If you apply device settings information that includes network settings with inappropriate values to devices, the devices may become unable to connect to the network. Therefore, take sufficient care when editing these values or selecting them as items to output.
These items include the password of the "Administrator" user of the device. If you apply incorrect settings to a device, the administrator will become unable to log in to the device. Therefore, take sufficient care when editing these values or selecting them as items to output.
These items include settings for the System Manager ID and PIN of the device. If you apply incorrect settings to a device, the administrator will become unable to log in to the device. Therefore, take sufficient care when editing these values or selecting them as items to output.
With items that are interrelated, if you change the setting of one item, the settings of other items that depend on that setting may be automatically changed. Also, if you set to output one of the items, the other items that depend on that item may also be set to be output automatically.
The other items may include items not supported by the target device. Settings values are not applied for items that do not exist in the target device.
Types of Settings Information Applied to Devices
The following three combinations of device settings information files and devices to apply to are possible.
Case A
The device to apply to is the same device (with the same serial number).
Case B applies when the devices have different serial numbers, even if they are the same model.
Case B
The device to apply to is the same model (same series).

The device to apply to is a different model.
IMPORTANT
If options or functions related to settings do not exist in the device to apply to, those settings may not be reflected to the device.

This section describes cautions to note when the device that the device settings information edited with this software was retrieved from is set as indicated below.
When you want to apply these settings to another device, retrieve device settings information that includes each related category from a device, and read that file in this software.

Cautions when Applying Device Settings Information to Devices
This section describes cautions for each category when applying device settings information to devices.
IMPORTANT
Most of the items described here cannot be edited with this software. However, caution is required because if you read settings information including these categories with this software and output to a file, these settings are included in the output file.
The items for synchronization of a device in which [Synchronize Custom Settings] is running include items for which values are reflected only when specific conditions are met and items for which values cannot be reflected in any situation. For more information, see the following.

If the device settings information includes categories that the target device does not support, the settings in those categories are not applied to the device.
Settings/Registration Basic Information
This category also includes network settings that cannot be edited with this software. If you apply device settings information that includes settings with values inappropriate for the network environment to devices, the devices may become unable to connect to the network.
This category also includes some settings of the following categories in addition to network settings. Check the cautions for the following categories in addition to the cautions for this category.

Forwarding Settings
This category includes the [Handle Files with Forwarding Errors] setting. This item is set on the following menu when using the control panel of the device.
If you apply device settings information set with a different value to the target device, files may be deleted at different times to those before the settings were applied, and users may become unable to access mail boxes because the PIN is changed. In this case, apply device settings information that includes the correct settings. Alternatively, disable the PIN, and then set the PIN again, as necessary.
Department ID Management Settings
This category includes [Department ID], and a setting that indicates whether to use [Department ID Management]. It also includes information for the System Manager ID. This item is set on the following menu when using the control panel of the device.
If [System Manager ID] is included and [Department ID] is not included in the device settings information to apply to the device, make sure to check in advance that the [System Manager ID] included in the device settings information does not match the [Department ID] set in the target device. If these settings are the same, the settings may change.
Department ID
If you apply device settings information with [Department ID Management] set to [On] and a Department ID/PIN different from the target device, users may become unable to connect to the device.
In this case, you can apply the settings information immediately before the settings were applied to restore the devices to their previous settings.
If you want to use the applied [Department ID]/[PIN] settings with a device that is using both User Authentication and [Department ID Management], perform the following procedure without restoring the previous settings.
1.
Log in to the device as a User Authentication administrator.
2.
Set [Department ID Management] to [Off].
3.
Change the [Department ID] settings of each User Authentication user to the new [Department ID] and [PIN].
4.
Set [Department ID Management] to [On].

Favorite Settings
This category includes settings saved when the following operations are performed from the buttons on the right corner of the screen for printing stored files.

If you apply device settings information with this item set to [On] to a device, stored files may be deleted after they are printed.
Address Book
When you apply settings information that includes the address book, all addresses previously registered in the device are deleted, and the applied addresses are registered.
If you change the address book of a device in which an application that uses the address book is running, that application may stop operating correctly. For more information, see the following.
Application instruction manuals
If you apply the address book category to a device alone, it may change to settings you do not intend, due to an inconsistency with address settings included in another category of the device to apply the settings to. When applying the address book category alone, check the settings of related categories in the device after the settings are applied. For information on related categories, see the following.

Authentication User Management
This category includes settings related to user management. These items are set on the following menus when using the control panel of the device.
If you apply device settings information set with a different value to the target device, user information and the authentication method will be changed, and authentication may fail. In this case, apply device settings information that includes the correct settings. Alternatively, specify the correct settings on the device.
User Access Control for Advanced Box
This category includes the [User Access Control for Advanced Box] setting of the Remote UI.
If device settings information that includes this category is applied to a device that supports the [Authentication User Management] category, the user information and authentication method are changed and authentication may fail. In this case, apply device settings information that includes the correct settings. Alternatively, specify the correct settings on the device.
If you apply device settings information set with a different value to the target device, user information and the authentication method will be changed, and users may become unable to use the Advanced Box. In this case, apply device settings information that includes the correct settings. Alternatively, specify the correct settings on the device.
Security Policy Settings
If you apply device settings information set with a different password from the password of the security policy set to the target device, the security policy settings are not reflected.
Home Settings/Main Menu Settings/Quick Menu Settings
Depending on the version of the platform, there may be a [Main Menu Settings] and [Quick Menu Settings] category and no [Home Settings] category.
When device settings information including [Main Menu Settings] and [Quick Menu Settings] is applied to a device that supports [Home Settings], the setting values included in these categories are reflected to [Home Settings]. When device settings information including [Home Settings] is applied to a device that does not support [Home Settings], the setting values in [Home Settings] are not reflected to [Main Menu Settings] and [Quick Menu Settings].
Cautions Regarding the Security Level of Device Settings Information
This section describes cautions regarding the security level of device settings information.
IMPORTANT
With some models, the security level can be selected when exporting device settings information from the device. For information on the devices that can select the security level, see the following.
When editing device settings information retrieved from a device

To edit device settings information retrieved from a device that supports security level 2, set the security level to level 1 when exporting the device settings information to a file.
